Job Description

Position Summary

To provide legal administrative assistance for the attorneys and paralegals in the Real Estate, Litigation and Asset Recovery groups.

Responsibilities

  • Prepare and revise documents at the direction of attorneys and paralegals.

  • Maintain online (and as applicable, physical) file and document management systems, including data entry, document uploading, document retrieval and status tracking.

  • Draft transmittal letters and assemble packages of documents for delivery.

  • Support transaction closings by compiling and completing deliverables at the direction of attorneys and paralegals.

  • Assist with the creation of new matters for outside counsel services through the company’s online legal billing platform, as well as processing and tracking payment of legal invoices.

  • Prepare and compile estoppel certificates and accompanying request letters.

  • Work on special Legal Department projects as assigned or initiate special projects.

Qualifications

  • High School Diploma

  • 2 years of experience in an administrative support role

  • Team player

  • Proficiency in Microsoft Office Suite

  • Able to quickly learn and be proficient with additional software packages

  • Experience with document or contract management systems preferred

  • Strong work ethic and sense of professionalism, demonstrating accountability, integrity and good judgment

  • Ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to quick deadlines and adapt to evolving circumstances

  • Effective decision-making skills

  • Highly organized and project oriented

  • Excellent business writing and verbal communication skills
